Preparing an assignment

Start with the purpose, people and setting.

Appointments and smaller meetings

When making an inquiry, describe the purpose, date, location and expected duration. Include who will attend and any communication preferences. A room where everyone can see the interpreter, steady lighting and one person speaking at a time help participants follow the conversation.

Share relevant names, documents and terminology ahead of time. Knowing what will be discussed gives the interpreter useful context for the exchange.

Training and presentations

For a company session or a presenter addressing a large audience, include the agenda, audience size and any slides. Consider where the interpreter will stand, how signing will remain visible and how audience questions will be handled. Discuss breaks and whether the event format or length may require a team of interpreters.
